Sharing results and insights



  • A result set can be exported directly from the search results page by clicking on the Export icon found at the top right
  • Records can be added to your List by ticking in my list when viewing the record, this list can then be exported or published by clicking on the Export or Publish icons found at the top right
  • Files can be exported as CSV, XML, Excel, Excel formatted and HTML table-format for further manipulation, reporting and analysis
  • The maximum number of records that can be exported is 10,000/day or 30,000/month
  • There are additional options available such as adding page breaks and keeping your highlighting – simply check the box as required
  • Single families can be exported by clicking on the Export single record link at the top of each record. After clicking on Export, select the publications in the family to be include in the export. The export can be open as a HTML or Word file
  • Users can create up to 2500 folders in PatBase Express where up to 100,000 families can be stored
    • To add a new record to a folder, click on the Folder Shortcuts icon at the top of the record, you will be prompted to open a folder or create a new one
    • To add the entire result set to a folder, click on the To my folder icon in the top right-hand corner of the results page
    • PatBase users can choose to share folders with all PatBase Express users (read-only access). If a folder has been shared by a PatBase user, then a folder icon will be displayed at the bottom of the page in PatBase Express entitled Public Folders
    • PatBase Express users are not able to create a public folder
  • To publish a result set, select the downward facing arrow next to the Export icon in the top right-hand corner of the page, this will open the More export and sharing options drop-down menu, from here simply click Share and then either copy the offline link or email directly to a client or colleague

Frequently Asked Questions

What fields do I need to select to receive the publication/application numbers and publication/application dates for the family members when conducting a family level export?
If performing an XML, CSV, RIS, MHT, or Excel format export then you would need to include the family information field in your export.

If completing a Word, RTF, PDF, or HTML format this information will automatically be included.
I am only interested in exporting data from documents from specific jurisdictions. How do I do this?
This sort of restriction is only possible for the following formats: XML, CSV, RIS, MHT, or Excel/XLSX.

After selecting one of the above formats select to complete your export at a publication level (the second tab). On the right-hand side of the page, there are options to Filter publications included in the export. Here you can specify whether to include:

  • All publications from all countries within your result set

  • Publications only from a specified range of countries (controlled by entering the country codes of the countries of interest)

  • Only one publication per family. This option includes a country preference filter, controlled by entering the country codes of preference – if none of the selected is available then the first English-language publication will be selected

I’ve used up my export quota but have additional documents I need to retrieve from the system, what can I do?
Our Fair Use policy limits the total number of documents that can be exported from a user ID to 10,000/day or 30,000/month. An offline export will not complete if the total number of documents exported including the current request exceeds either of these limits.

The daily quota is re-set every 24 hours, and the monthly quota on the 1st of every month.

If you have reached your limit or need to conduct a one-time export of more than 10,000 records in a day, please contact Minesoft at support@minesoft.com and we will do our best to accommodate your request, either by completing the export ourselves and forwarding your results or temporarily raising your quota.
How do I share data with my colleagues?
a) Publish a result set

You can send the results of a search directly to a colleague from within the system by clicking on the arrow next to the Export icon and choosing Share search results. You will be prompted to name your search and then enter the recipients and the email address you wish to send from, along with an accompanying message. Your colleague will receive a link along with your message. They have the option of viewing the results in PatBase or PatBase Express provided they have access, or in the PatBase folder viewer if they do not. The folder viewer contains the bibliographic data on the family, a snapshot analysis function on the result set, and the ability to export the results as a PDF. The link will remain active for 6 months.

b) Share a folder

Folders can be published in the same way that a search set can be. Mouse over the My folders icon at the bottom of the page and open the folder you wish to publish. With the folder open, click the arrow next to export and select share.

c) Share my list

It’s really easy to share your list with PatBase Express users and non-users. Open your list by clicking My list at the bottom of your screen. Select the Publish my list icon in the top right-hand corner of the page. This will generate an offline link which can be copied and distributed as needed or emailed directly to a colleague.
