  • To create a highlight system, enter a project and click the highlight icon in the top right-hand corner of the page. Here you can set an unlimited number of highlight sets for different areas of the project. Simply enter a name for the highlight, and keywords you would like highlighted and assign them each a colour.
    • The asterisk (*) truncation symbol is activated in the highlighting tool.
  • Labels can be created by clicking the Labels tab in the toolbar and set a title and colour for your label. You can set an unlimited number of labels. Your label can be added to each document or as required by selecting “Add label” when reviewing documents.
  • You can also set a ranking out of 10 stars to each publication in your project.
  • There is the option to chat with other users in the project using the chat function in the side panel in the document viewer. Here you can also add links and private notes.
  • Navigate projects using email notifications which will be sent at a frequency determined by the admin user or yourself, under Default Notification Interval in Settings.
  • Click Search Project in the toolbar and enter keywords, inventors or assignees to search across all documents in your project.
  • In the publication viewer, when you click on Family/Legal Status, a new window will open with Legal Information Browser. Here, you can see legal information including a timeline or table view of legal status changes, reassignments, priority map and litigation information tables.
  • Next to Family/Legal Status there is Textmine, which opens a publication’s full text in another window with options to add automatic highlighting to chemical or scientific terminology to speed up the review process.
  • Within a project, you can also access Snapshot in the toolbar which provides a simple overview analysis of the patent documents in your project.

Frequently Asked Questions

How do I use the same highlight/label on multiple projects?

An existing Highlight Set/Labels needs to be applied on a project.

Open the project you wish to add the same highlighting/label set to. Select the highlight/label icon option in the projects toolbar above the documents table. Select “Import Highlight Set”/”Import Labels” and a pop-up window will appear prompting you to select the project to import the highlight set/label from.


Once you have selected the project, the existing highlight set/labels will appear. For label imports only, you can remove individual labels from the import by clicking “x” to delete.

When you are ready select “Import Highlight Set”/”Import Label”.

How do I annotate a document?

Start by opening the document by clicking the publication number in the project table. Left click and hold your mouse to highlight text of interest. This will automatically trigger a blue “Add Annotation” button to appear next to your text on the right. Click this button to attach a note to the selected text. To save your note, simply click the green save button under the text box, and to discard it, press the red cancel button.
